1) Who is parkside ranch inc. And what do we do?
PARKSIDE RANCH INC. is a private Christian faith-based not-for-profit organization founded in 1969, located next to the Mont Orford Provincial Park in the heart of Quebec’s Eastern Townships. PARKSIDE offers a unique blend of overnight and day camp programs and resources, conference and retreat event services, and therapeutic riding facilities and programs, all contributing to the physical, emotional, social, mental and spiritual well-being of our clients and surrounding communities.
As such PARKSIDE collects, uses and discloses information on a daily basis for the purpose of communicating with a variety of audiences, including for registration and communication with campers, camper families, therapeutic riding clients and event clients for delivery of our services; for communicating with donors and soliciting contributions; and for raising funds in support of Parkside various programs, facilities and operations, and campers / clients in financial need, as well as providing information about our services. We comply with Québec’s Law 25 personal information privacy requirements and industry best practices when handling all information, particularly personal information.
This Privacy Policy is intended to help you understand our practices regarding the collection, use, disclosure and retention of personal information. By providing us with your personal information (e.g. by completing an event entry or registration form, by donating, by responding to printed or online communications, by purchasing a product or service, or by other electronic means as applicable, e.g. through our website, by email, in person, or by telephone), you agree that it will be processed in accordance with what is set forth in this Privacy Policy, and you authorize us to use the personal information to be processed in accordance with the provisions of this Privacy Policy, and as needed with third parties and service providers for the purposes set out below (see section 4). This Privacy Policy does not apply to third-party websites that may be accessed by clicking on links on this website, and PARKSIDE RANCH INC. is not responsible for any such third-party websites. If you follow a link to a third-party website, the third-party website will have its own privacy policies that you should review before submitting any personal information.
2) Defintion: personal / confidential information
Personal information may include any or all of the following:
- An individual’s name,
- Address,
- Email address,
- Telephone number,
- Birthdate,
- Social insurance number,
- Any financial information identifiable to the person (donations, billing, payments) NOTE: we do not store any individual’s banking or payment card information on any of our on-site systems,
- Any health, ethnic, racial, sexual orientation, political views, or religious-related information identifiable to and provided by the individual.
PARKSIDE RANCH INC. collects and retains and individual’s confidential personal information once the individual has signed a Consent Form permitting us to do so. This form will be provided by PARKSIDE to any individual for whom we will collect and retain personal confidential information.
3) How do we collect your personal information?
We collect your personal information from you and through our interactions with you, as follows:
- When you register for events, training, updates and newsletters;
- When you donate to our organization, regardless of the form of your donation;
- When you register as a volunteer for our organization;
- When you apply for employment or are hired;
- In the course of PARKSIDE providing services to you;
We may also collect publicly available information, including on public platforms or from queries to PARKSIDE RANCH INC. from our website.
4) What personal information does Parkside ranch collect?
We may collect different types of personal information in the course of ongoing services/operations, including:
- Business/personal contact information, (name, address, email address, date of birth, telephone number);
- Biographical information (job title, employer, professional/job history, photos, video/audio content;
- Information related to event and lodging services such as food preferences/restrictions, allergies and any event and lodging-related health requirements;
- Information related to donation history, participation in events, billing and financial information;
- Information about services provided to you;
- Recruitment-related information (CV, education, employment history, professional affiliations);
- Website usage information (no cookies are used to track web activity);
- Information provided to us in the course of providing services and which may, where relevant, include categories of sensitive personal information (such as sexual orientation as related to lodging, etc.);
- Third party personal information that you may provide, with their consent;
- Evidence of consent given to PARKSIDE (date, time, means), as described in sections 2, 3 and 5;
We do not knowingly collect information from children under the age of 14, without express parental consent. If such personal information has been collected without parental consent, we will delete it.
5) How do we use personal information?
With your consent, PARKSIDE may use your personal information:
- To provide our services and perform our obligations arising from an agreement between you and us.
- To facilitate the use of our websites, ensure that content is relevant and adaptable to various user devices.
- For promotional or relationship management purposes – to provide details of PARKSIDE services, developments or events where consent has been provided to receive such information.
- For research and development purposes – to conduct analyses to better understand our clients’ service requirements and to help develop and improve our services and offerings.
- For recruitment purposes – to allow us to process applications and assess an applicant’s qualifications.
- To meet our legal, regulatory, or risk management obligations.
- To prevent fraud and/or conduct background checks, and ensure information security best practices;
- To protect our rights and those of third parties, and to meet our legal/regulatory information obligations.
- We do not share any personal information with external parties, other than as may be required by law.
6) With whom do we share personal information?
PARKSIDE may share personal information upon receipt of specific consent with:
- Employees, volunteers and clients of PARKSIDE, strictly related to their specific roles at PARKSIDE;
- Government / law enforcement authorities where required by applicable laws (e.g. tax, mandate etc.);
- Third-party sites (e.g. Google and Facebook) to promote our services content / offers; for more information see Cookie Policy – see p. 10.
7) How long do we keep personal information?
We retain personal information only for as long as necessary to comply with our legal and regulatory obligations. For more information, see section 12 “How to Contact Us”.
8) Where are personal information/transfers stored outside Quebec?
- No personal information is stored on any of staff computers, with access limited by secure logins;
- Electronic personal information is stored in the secure servers of our web services providers;
- PARKSIDE maintains a current Inventory Record of the location / usage of all personal information;
- Personal information on paper is stored in locked cabinets and is shredded when obsolete.
9) How do we protect personal information?
PARKSIDE RANCH INC. follows the personal information security requirements of Québec’s Law 25:
- Physical, electronic and administrative procedures:
- Access is limited to staff who have a specific need to use it to provide PARKSIDE’s services.
- In the event of a confidentiality incident, we will immediately notify you and take corrective action.
10) What are the information privacy rights of individuals?
Within the requirements of Québec’s Law 25, an individual has the following rights:
- Request / receive a copy of the personal information we hold about the individual;
- Request correction of any inaccurate information;
- Other than staff or volunteers: request permanent deletion of their personal information;
- Request that personal information be used only anonymously, for legitimate uses as defined in item 5;
- Complaint: the right to lodge a complaint with Québec’s CAI (Commission d’accès à l’information);
- PARKSIDE will provide a Complaint Form that you may use, and maintains a detailed log of complaints.
11) How do we use cookies and similar technologies?
PARKSIDE does not use cookies or tracking technologies on our website, or web beacons in emails.
